The Clerk I performs moderately complex clerical work.
Work Involves:
copying, sorting and distributing mail/reports, retrieves and files records, maintains master patient index cards, prepares central folders, files documents with upmost accuracy.
Responds to all Texas rehab requests for records.
Works under the general supervision of the Supervisor of Health Information Management with limited latitude for the use of initiative and independent judgment.
Willingly completes other duties as assigned within timeframes and minimum standards established by supervisor at the time of the assignments.
Obtains supervisor clarification and assistance as needed to complete task.
Performs other duties as assigned to ensure the efficient operation of the unit.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
Such participation may require an alternate shift pattern assignment and/or location.
Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Retrieves records for admissions, correspondence and other departments.
Files patient's records according to proper filing methods.
Maintains all Master Patient Index Cards on a daily basis to include making new card as needed and updating others upon readmission.
Create central folder for all admissions within time frame.
File documents into charts with high degree of accuracy and timeliness.
Copies, sorts, and distributes reports, mail to appropriate staff/departments within area.
Performs other task as assigned to ensure smooth work flow is maintained at all times.

Other duties as assigned includes backing-up other positions within the department at 100% of work time at the discretion of the director.
This includes, but is not limited to, extended sitting, computer based duties, extended typing, running errands to multiple campus locations, and sorting/filing of paper documents.
Knowledge Skills Abilities:
Knowledge of general office operations including standard office equipment, copy machine, phone, fax etc.
Ability to perform basic arithmetic calculations.
Ability to read color coded numbered documents.
Skills to operate a computer and utilize software such as Outlook, Microsoft Office Word and Excel.
Ability to handle and maintain confidential files and information.
Ability to check basic details on various documents with accuracy and timeliness.
Ability to multitask and prioritize tasks.
Registration or Licensure Requirements:
None Initial Selection Criteria:
Prefer High School Diploma or GED.
Experience in the use of computers, including Outlook, Microsoft Word and Excel.
Prefer previous office experience.
Skill in use of standard office equipment.
Experience with electronic medical records preferred.

Salary Note:
The salary offered will follow the state hospital nursing compensation plan.
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, and HHS OIG list of Excluded Individuals/Entities.

Flexibility in work hours may be required for this position.
The position may be required to work overtime and/or extended hours.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required.
According to the Centers for Disease Control and Prevention, healthcare workers are considered to be at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza.
All of these diseases are vaccine-preventable.
As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals.
